A Knowledge Management (KM) Assistant in a law firm supports the development, organization, and maintenance of the firm’s knowledge resources and systems. This role is administrative and technical, working closely with lawyers, law clerks, legal assistants, and IT staff to ensure that legal precedents, templates, and best practices are easily accessible and up to date. The KM Assistant helps drive efficiency, innovation, and quality in legal service delivery by supporting knowledge-sharing initiatives and managing legal content and databases.
Key Responsibilities:
- Organize, catalogue, and update legal precedents, templates, and research materials in the firm’s knowledge management system.
- Assist with the maintenance and improvement of the firm’s document management and knowledge-sharing platforms.
- Support lawyers and staff in locating and retrieving knowledge resources and practice materials.
- Monitor legal and industry developments and help update internal resources and databases.
- Assist with the preparation and distribution of internal newsletters, bulletins, and training materials.
- Provide support to staff on knowledge management systems and resources.
- Coordinate and track knowledge management projects, including document review, data entry, and quality control.
- Liaise with IT to troubleshoot issues and implement improvements.
- Maintain confidentiality and security of all firm and client information.
Qualifications:
- Previous experience in a law firm, professional services, or knowledge management environment is required.
- Strong organizational skills and attention to detail.
- Proficiency with document management systems (e.g., iPro, Mattersphere, iManage, NetDocuments, SharePoint) and Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
- Strong research and information management skills.
- Ability to handle confidential and sensitive information with discretion.
- Post-secondary education in library/information science, legal studies, or office administration is required.
This position is currently hybrid with the first 6 weeks being on-site full time. After that point, the hybrid policy will apply with 3 days in-office scheduled per week. This position may transition to a full time on site role.
